KLZ Offers email services based on the leading Microsoft Exchange Server which provide you and your school with email, calendars, tasks and contacts.

This means you can access your messages, calendar, tasks and contacts in a variety of ways;

Microsoft Outlook client - If you predominantly use the same PC, the Outlook client is best for you. The best version is Microsoft Outlook 2007, but you can use previous versions of Outlook.

Microsoft Outlook Web Access (OWA) – if you share a PC or are away from school, then all you need to find is an Internet enabled PC and you can log in to check your messages and see your calendar etc. OWA offers almost the same functionality as the client version but needs no installation, so you can access if from anywherePicture of a Handheld device

Windows Smartphone , PDA or iPhone – if you’re out and about or travelling to and from meetings or schools, you no longer need to be separated from your emails or diary. KLZ is fully compatible with all versions of Windows based Smartphone’s and any PDA that runs Windows mobile. You can set the frequency of synchronisation and tell your phone what your normal working hours are to save synchronisation and night or weekends.

Embedded into your KLZ My Site – If you’re an occasional email user or you wish your students to access email in one place, then the My Site can be set to contain links to your email which can save time as you don’t have to load up separate programs.Screen Shot of Outlook Mail

Mailbox

  • Managing your inbox couldn’t be easier with Microsoft Outlook, you can add a flag to follow up on important messages and add them to your tasks or to-do list.  You can create sub-folders to allow you to file messages into groups. Microsoft Outlook and Exchange have various rules and actions that can be set to run when a message arrives, this means you can sort or reply to messages automatically, these can be useful if you’re on holiday or want to get parents to mail in about a particular event or meeting and have an automatic response sent out.

Tasks
Often called a To-Do list you can set tasks as reminders and even assign tasks to others.

Contacts
You can store your own lists of contacts that you regularly communicate with, if you have a mobile device (Smart Phone; PDA or iPhone) , then they also appear as contacts when your away from school.

Calendar
If you work within a group, you can give others access to your calendars or inbox and they can accept appointments on your behalf. An example of this would be a head teacher who looks after two schools, each school secretary can be given access to the head’s calendar, and if the head also had a Windows Smartphone or PDA they could all be looking at the same up to date calendar so parents or visitors can make appointments to see the head from either school secretary. You can keep using the same email address as you are currently receiving emails and you can also have extra names (ie headteacher@yourschool or secretary@ yourschool etc) and you can also have the same email account with your real name so both receive messages, messages can also go to groups of people if you want.
Notes
You can have your own version of sticky notes to jot down simple notes or telephone numbers, this saves you having to use post it notes, and you can even email a note to someone else.
